Salary: $25 – $30 an hour based on experience and qualifications.
Location: Mariposa, CA
Hours: Full-time, Monday through Friday, 7:00 A.M. to 4:00 P.M., with occasional flexibility for team needs or special projects.

Job Description:
We’re looking for an enthusiastic and highly organized administrative assistant to join our team. In this role, you’ll be at the heart of our operations, ensuring the office runs smoothly and efficiently. Key responsibilities include vital telephone and email communication, scheduling and vendor and sub-contractor relations.
Job Responsibilities and Tasks:
- Oversee daily office operations, including scheduling, supply management, and vendor relations.
- Provide administrative assistance to leadership and staff.
- Handling basic bookkeeping activities, processing invoices and accounts receivable management.
- Filing permit applications for construction, solar and generator projects utilizing each County’s process for a complete permit package.
- Schedule required inspections and coordinate with team members to meet with inspectors.
- Maintain compliance with safety protocols, HR policies, and operational standards.
- Monitor progress of construction projects and maintain weekly meeting notes to keep the team up to date.
- Work closely with accounting staff to keep accounts receivable and payables current.
- Prepare and submit proposals and contracts to potential clients and follow up on those via phone and email.
- Prepare and Secure quotes from vendors and sub-contractors.
Skills and Qualifications:
Must-have:
- Experience as an administrative assistant or in a comparable office leadership role, with a track record of success in maintaining efficient operations.
- Ability to manage multiple responsibilities and prioritize tasks effectively in a fast-paced environment.
- Excellent verbal and written communication skills.
- Advanced knowledge of Microsoft Office Suite and familiarity with an emphasis on Microsoft Word and Excel.
- Quick thinker with a knack for identifying issues and implementing creative, practical solutions.
- Ability to utilize and navigate numerous online portals for construction permits and PG&E solar applications.
Nice-to-have:
- Knowledge of the construction field to include home construction, remodels, solar systems and standby generators.
- Knowledge of workplace safety standards, legal requirements, and industry best practices for maintaining a secure and compliant office environment.
- Familiarity with hiring processes, employee onboarding, and maintaining personnel records.
Salary: $25 – $30 an hour based on experience and qualifications.
